How One University Centralized Its Communications Workflow with Kordiam

When information lives in too many places, teams spend more time searching than communicating. And the central communications team struggled to keep everyone aligned. 

To fix that, they brought in Kordiam. 

We spoke with a team member from the university’s central communications unit about how Kordiam helped unify information flows, streamline communications planning and create a shared structure across teams. 

Q&A with a University Communications Team Member 

Kordiam: How would you describe Kordiam to another communications department? 

Communications team member: Kordiam is an effective tool for centralizing all our knowledge and information. It makes content accessible to all colleagues, even if they’re in different departments. That visibility helps people use each other’s work and improve it. It’s a great tool. 

Kordiam: What would you say to another team considering Kordiam? 

Communications team member: The larger your team, the more you’ll benefit. Think about what annoys you in your current workflow—what slows you down or creates unnecessary steps. Then look at how Kordiam can solve those issues. 

But also, be open with your team. Make it clear that Kordiam isn’t a control mechanism. It’s there to replace inefficient routines, which can feel invasive at first. So you need to prepare people for the shift. 

Kordiam: How has Kordiam improved your workflow and productivity? 

Communications team member: The flow of information is much better. Transparency among colleagues has improved, and we can quickly see what’s planned for each channel. Before, we’d spend hours searching spreadsheets or digging through emails. Now we know where to look—if everyone contributes properly, it works smoothly. 

Kordiam: Can you give a specific example? 

Communications team member: Event planning. We have lots of events organized by different departments. In the past, someone might hear about an event and publish it to their channel. Someone else might miss it entirely unless they happened to check the other channel. Now, one person gathers the information and shares it in Kordiam. That means consistent messaging across all platforms and less duplicated effort. 

We also recently introduced a photographer booking process through Kordiam. It’s now part of the same workflow. 

Kordiam: What surprised you most about using Kordiam? 

Communications team member: How much effort it takes to bring decentralized communicators into a centralized system. Our structure is quite fragmented, and people are used to working independently. It’s not a flaw in Kordiam—it’s a structural challenge. It takes time and consistency to bring everyone in.
