Kordiam now serves as a comprehensive platform for managing the newsroom content lifecycle. Its capabilities extend well beyond task assignment, teams can plan work, upload content, define and enforce metadata standards, preview files, and deliver assets seamlessly to internal and external systems.  

This evolution creates a smoother process for both staff and freelancers, making newsroom collaboration, content handling, and payment administration more streamlined and adaptable to changing editorial needs. Katja Sandweg, Head of Customer Success, recently shared insights into these advancements during a presentation at Editorial Days 2025. 

Her session laid out the evolving content workflow in Kordiam in four parts: 

  • Task assignment 
  • Content upload (internal and external) 
  • Content preview and selection 
  • Data transfer to external systems 

Task Assignment 

Kordiam’s foundation is still its task assignment functionality. The task widget, accessible from the redesigned pages, shows key details such as assignee, deadline, and platform. The Tasks page, introduced last year, allows planners to filter and group tasks by deadline, event, or other criteria. 

A new update will add a user availability column, showing whether a team member is scheduled, on leave, or already assigned elsewhere. This visibility helps planners distribute work more effectively and maintain a balanced workload across the team. 

Content Upload 

Once tasks are assigned and content is created, reporters need a simple way to submit their files. Kordiam supports two options. Reporters can upload directly into Kordiam or send their files to external systems such as a CMS or DAM. 

This feature is especially useful for freelancers who may not have access to those newsroom systems. At the same time, Kordiam collects metadata in a consistent, standardized way to keep everything aligned. 

Kordiam also supports content-based upload links. These links make it possible to send different file types to different destinations. For example, photos can be directed to one DAM folder while videos are sent to another, all within the same workflow. 

The links appear both in the Story Card and in notification emails. Reporters receive clear upload placeholders that guide their files to the right system once the integration is active. 

Metadata and Standardization 

Kordiam enables customers to define and enforce custom metadata fields for uploaded content. These can include both optional and mandatory fields, tailored to each newsroom’s workflow. Customers can request activation of existing fields or define new ones as needed. 

A built-in text length feature helps maintain consistency by limiting character or word counts. For example, if a newsroom requires a 300-word article, reporters can only submit text up to that length. 

Preview and Selection 

Kordiam is introducing new features for previewing and selecting content, all accessible through the task widget. Users can now upload and preview images, with support for videos, PDFs, and Word documents coming soon. 

Files can be bookmarked, and a share function makes it easy to choose which items get transferred. Previews will appear not only in the task widget but also on the story card, Tasks page, and Story List for full visibility. 

Data Transfer to External Systems 

Kordiam also supports transferring files and metadata to external systems. This can happen automatically through integrations or manually via the share function. 

A key area of growth is financial workflows, where Kordiam helps ensure metadata flows seamlessly into billing systems. For example, when a freelancer uploads content, their supplier ID is automatically prefilled and passed along with the file. That information moves through the system into the billing system, where it can be used to process payments. 

What’s Next 

Katja closed by highlighting Kordiam’s evolution beyond task assignment, emphasizing its role in fully supporting content uploads and previews. She outlined upcoming features such as embedded uploads and enhanced preview options, which will be rolled out broadly to all users at the same time. 

On error handling, she confirmed that Kordiam will now provide more detailed feedback, flagging missing mandatory fields or file size limits, making it easier for teams to correct issues quickly. 

Looking ahead, she pointed to the planned expansion of metadata export and stronger connectivity with financial systems. To shape these next steps, the team is inviting collaboration and feedback from users.
